Cookie Policy
A short, honest inventory of every cookie AgentMind sets in your browser and what each one does.
1. What cookies are
Cookies are small text files that a website asks your browser to store. The site can read them back on later visits. They have legitimate uses (remembering you are logged in, remembering your preferences) and they can be abused (cross-site tracking, advertising profiling). This page is an honest inventory of what AgentMind actually does.
2. The short version
- We use cookies that are strictly necessary to operate the Service (keeping you logged in, securing the session, remembering your interface preferences).
- We do NOT use advertising cookies, cross-site tracking pixels, or social-media widget cookies on the dashboard or admin console.
- We do NOT currently use third-party analytics on agentmind.ca or in the dashboard. If we add a privacy-respecting analytics tool in the future, this page will be updated and active customers will be notified.
- We do NOT sell personal information or rent your cookie data to anyone.
3. Cookies AgentMind sets
Authentication and session
| Purpose | What it does | Duration |
|---|---|---|
| Session token | Keeps you signed in to the dashboard or admin console after successful login. Required for the Service to function. | 1 hour, auto-refreshed |
| Login handshake | Short-lived security token used during the secure login handshake. Discarded once you are signed in. | 15 minutes |
Interface preferences
We use browser local storage (a cookie-like mechanism) to remember small UI preferences that follow your account between sessions:
- Light / dark mode preference on the admin console.
- Whether you have dismissed welcome banners and one-time onboarding nudges.
- Collapsed / expanded state of the sidebar navigation.
These preferences are visible only to your browser. They are not transmitted to us.
Marketing site (agentmind.ca)
The marketing site at agentmind.ca uses standard WordPress cookies (for example, a "test" cookie that confirms cookies are enabled, and login cookies if a content editor signs in). It does not set advertising or cross-site tracking cookies. Anonymous visitors are not tracked across pages or sessions.
Realtor public sites
Each realtor's AgentMind-hosted public site (yourname.agentmind.ca or a connected custom domain) currently sets no first-party cookies on anonymous visitors. Visitor interactions are limited to filling out a lead form, which sends the form data to the realtor without dropping a tracking cookie.
4. Cookies third-party services may set
Some features integrate third-party services that may set their own cookies in your browser. We describe the relevant categories below.
- Payment processor - when you open the billing portal or complete checkout, our payment processor sets fraud-prevention and session cookies on its own domain. These cookies are necessary for payment processing.
- Calendar provider - if you connect a third-party calendar through the OAuth flow, that provider sets its own cookies in the consent window. Those cookies belong to the provider, not to us.
- Edge network - our edge layer may set short-lived security cookies to defend against automated abuse. They contain no personal information.
- Mapping provider - tile delivery and address autocomplete may set request-scoped tokens; no persistent profiling cookies.
5. How to control cookies
Every major browser lets you view, block, or delete cookies through its settings. Blocking the authentication cookies above will prevent you from signing in to the AgentMind dashboard or admin console - but that is your choice to make. Browser-level "Do Not Track" signals are respected where they are legally meaningful; we do not engage in cross-site behavioural advertising, so there is nothing to opt out of beyond clearing the strictly necessary cookies above.
6. Future analytics
We may add a privacy-respecting analytics tool to the marketing site to understand which articles and product pages are useful. If we do:
- We will update this Cookie Policy first and disclose what is collected.
- We will prefer cookieless analytics or first-party cookies that do not enable cross-site tracking.
- We will never repurpose dashboard activity for advertising profiling.
7. Changes to this policy
When we add, remove, or change a cookie that materially affects what is collected, we will update the "Last updated" date at the top of this page. For material changes that affect customers, we will also notify active accounts by email.
